BY USING THIS SITE, BY SENDING OR DELIVERING YOUR BOOKING(S), AND/OR OTHER DOCUMENT(S) TO VIETNAMVIPSERVICES.COM, AND BY USING ANY OF THE SERVICES PUBLISHED ON VIETNAMVIPSERVICES.COM, YOU ACKNOWLEDGE READING AND ACCEPTING THESE TERMS & CONDITIONS AND AGREE NOT TO VIOLATE OUR POLICIES.
You agree that you shall not use the Website for illegal purposes, and will respect all applicable laws and regulations.
You agree not to use the website in a way that may impair the performance, corrupt the content or otherwise reduce the overall functionality of the Website.
You agree to be responsible for any claim, expense, liability, losses, costs including legal fees incurred by us arising from any infringement of the terms and conditions set out in this agreement.
If you object to any of the terms and conditions set out in this agreement you should not use any of the products or services on the Website and leave immediately.
MODIFICATION
We reserves the right to change any part of this agreement without notice and will not take liability for any issues arising from such action. Your use of the Website will be deemed as acceptance of this agreement. Thus it is advised that you regularly check the Terms and Conditions of this agreement.
VOCABULARY
Date format: MM/DD/YYYY (example: January 15th 2012)
Time Zone: Vietnam time (GMT +7)
Working days: From Monday to Friday (except Saturday, Sunday & National holidays)
Working hours: 09.00 AM to 04.00 PM every working days.
Booking: refers to your Meet & Assist service reservation for one or more passengers on a single flight.
Passenger: each traveler covered under one booking.
BOOKING & SERVICE DELIVERY
Once we receive your full payment and your flight itinerary (flight number, arrival date and time), your Meet & Assist booking is confirmed. Our host will meet you at the arrival gate with a Welcome Board and stay with you as you walk through the terminal, typically within 15-25 minutes depending on the service tier you selected (counted from the time our host meets you, not from the time you submit your booking online). In special cases (e.g. flight delay, large group), the time required may be longer than usual. In such cases, we will inform you by email [email protected]
Our service is completed once our host has met you and assisted you through the terminal. You are required to keep your phone reachable on the day of arrival. We are not responsible for any delay caused by wrong contact details supplied by you or your phone being unreachable when our host tries to reach you.
Rules for flight changes and last-minute bookings:
If your flight is changed or delayed, please let us know as soon as possible – ideally at least 2 working days before your new arrival date where possible (except in urgent cases). This allows us to reassign our host to your new flight time.
+ If you notify us more than 60 minutes before your new landing time: your Meet & Assist arrangement will be updated within 1 hour.
+ If you notify us less than 60 minutes before your new landing time: we will do our best to reach our host on the spot, but a smooth handover cannot always be guaranteed on such short notice.
In the above cases, Vietnamvipservices.com has no responsibility for any delay, cancellation, financial and other losses caused by a flight change we were not notified of in time.
Once you book and pay for this service, you do need to call us at our hotline at +84.936.631.501 to confirm and then keep your phone reachable on the day of arrival. We do not be in charge of any unexpected problem due to your forgetting to give us a phone call or keep your phone reachable
FEES AND PAYMENTS
You are required to pay all fees and charges for the service offered by Vietnamvipservices.com.
Requirements and fees related to our Meet & Assist service are subject to change, including, but not limited to, service tiers and add-on options (car pick-up, Vietnam eSIM), which are subject to change without notice.
CANCELLATIONS AND REFUNDS
The No-refund policy is run on all Meet & Assist bookings once our host has been arranged for your arrival on Vietnamvipservices.com. Thus if you wish to cancel your booking with Vietnamvipservices.com, kindly contact us immediately to prevent any unnecessary cost.
– No refund: We shall NOT reimburse you in case of 1) Any reason for cancellation after our host has been arranged for your arrival. 2) You do not arrive on the confirmed flight/date and did not notify us in advance. 3) (For Extra Services such as Car pick-up and Vietnam eSIM) changing your flight details and arrival day but you do not inform us in advance.
– Partially refund: If the notice of cancellation is before our host has been arranged for your booking, 30% refund of the total amount paid will be offered.
Please note that once our host has met you at the airport, a refund will no longer be valid.
We promise to provide the service as requested for the confirmed arrival time. However, the clients may adjust their onward plans after arrival as they wish, as this is beyond the scope of our airport service.
It is imperative that you supply us with all the correct booking information (flight number, arrival date/time, passenger names) at the time of booking. We cannot be held responsible for any issue arising from incorrect information supplied by you and any losses incurred. Though every effort will be made on our part to correct any booking issues prior to your arrival, no refund will be given by us in the event of false or incorrect information being supplied at the time of booking. We strongly recommend that you double-check your booking confirmation against your flight itinerary and personal information. BOOKING INFORMATION MUST BE DOUBLE CHECKED CAREFULLY WHEN YOU RECEIVE IT to avoid mistakes from our side or from customers.

=>> If we do not receive any email for error correction from you within 24 hours from the time we send out the booking confirmation, Vietnamvipservices.com will not be responsible for any failed bookings, missed arrangements, service fee losses or other related problem.
2. Mistakes from customers must be corrected by contacting us via email or hotlines as soon as possible; additional fees may apply depending on the change requested.
Our Meet & Assist service is applicable to air travel arrivals at Ha Noi, Da Nang, Ho Chi Minh, Cam Ranh and Phu Quoc International Airports only.
All the fees will be refunded in case your booking is declined by us.
DISCLAIMERS
Vietnamvipservices.com is a private, independent travel concierge agency. We are not affiliated with the Government of Vietnam, any airport authority, or the Department of Immigration. Our services are strictly limited to terminal hospitality, luggage assistance, airport lounge guidance, and private transport coordination.
Our host will meet you at the airport as scheduled; however, there may be exceptions like delay or cancellation due to unforeseen problems. Thus we strongly recommend that you book our Meet & Assist service at least 1-2 days in advance of your travel date, or as soon as your flight itinerary is confirmed, to avoid any unexpected issues.
Normally, it takes around 15-25 minutes to walk through the airport with our host upon arrival; however, sometimes it may take longer than expected due to the large number of arrivals. The circumstances are unavoidable and we should not be held responsible for any loss incurred.
There might be rare circumstances under which our host is unable to meet you (e.g. incorrect flight information supplied by you); in those cases, we will refund you the applicable amount paid to us, and we will not be responsible for any loss, delay or cancellation of your flight ticket, tour or accommodation booking made for your trip to Vietnam.
